The menu
Managers open Expenses: View Expenses, Claims, Recurring Expenses, and Reports. Employees open Self, then Expense Claims. Categories are in Settings. The product page is expense management software.
The financial year used on reports is the Financial Year Start Month from company settings.
Categories
Settings, then Expense Categories. New, Edit, and Delete work like the other settings lists. Create the categories before the first claim, or people have nothing to file against.
Claims and approval
An employee opens Expense Claims and chooses New. They can Edit it while the status is still pending. After you approve or reject it, they cannot edit it.
Managers open Claims. The screen title is Expenses Claims. Filter Category and Status (All, Pending, Approved, Rejected). Approve or Reject the row. You can also New, Edit, or Delete from this list.
View Expenses is the expense register itself, separate from the claim queue. Quick Add and New record an expense directly. Use that when there is no employee claim to approve.
Recurring expenses and reports
Recurring Expenses is for amounts that repeat. New, Edit, and Delete. You need permission to manage recurring expenses, which can be separate from ordinary expense permission.
Reports filters by Date range, Status (All, Approved, Pending, Rejected, Reimbursed), and Category. Export, then Download Excel. The menu can export employee claim details, the current register view, or the full expense register.
Reimbursement through salary is a payroll step. Record the claim here first, then include it when you generate the month.
