What this covers
Do this before you add the team. SnapHRM stores the company once, then every employee, leave type, and payroll run hangs off that setup. You need permission to manage the company. Open the gear, which is Settings.
A useful order is: company profile, currency and financial year, departments, designations, locations, roles, then custom fields. People come next, in the employee guide.
Company profile
Settings, then Company. The page title is Company Info.
- On General, set Name and Country. Upload a Logo, or use Remove Logo if you need to replace one.
- On Contact Information, set Contact Email, Contact Number, Contact Person, and Contact Address. This is the address that appears on letters and payroll documents.
- Choose Save.
Currency, time, and the financial year
Settings, then Company Settings.
- Localization — Currency, Symbol, Timezone, and Date and Time Format.
- Expenses and Payroll — Financial Year Start Month, from January through December. Payroll reports that say “this year” use this month.
- Email — Reply To Name and Reply To Email, so replies to SnapHRM mail come back to your HR inbox.
Choose Save.
Departments, designations, and locations
These three lists work the same way. Open the one you need from Settings.
- Departments — New opens Manage Department. Type a Department Name. Add new Row if you have several. Save.
- Designations — same pattern, in Manage Designations, with Designation Name.
- Locations — Manage Locations asks for Location Name and Address. Attendance rules and shifts are stored per location, so add every office you will clock people against.
Each list has Edit and Delete. You pick a department, designation, and location when you create an employee, and again on the org chart filters.
Roles
Settings, then Roles. The built-in admin role cannot be deleted. For everyone else:
- Choose New.
- On Role Details, you can Copy from existing role, then set Name and Description.
- Tick the Permissions this role should have. Leave payroll, billing, and settings off for people who should only use Self.
- Choose Create.
Assign the role on the employee form. Visibility on that form is separate: Manager, Department, Location, or Company decides whose records they can see.
Custom fields on the employee profile
Settings, then Employee Custom Fields. Groups become extra tabs on the employee profile.
- Choose Add and name the group. That name is the tab.
- Inside the group, Add heading or Add field.
- A field has a Name, Required (Yes or No), and a Type: Text, Large Text, Date, Select, or File.
You fill these in when you edit the employee, not on the short create form. The create screen tells you that contact, emergency contacts, employment dates, bank details, and custom fields come after the person exists.
