How to run onboarding and offboarding

Journeys: templates, a start date or last working day, buddies, and the checklist employees complete themselves.

Journeys

In the product this is Journeys: one checklist for joining, one for leaving. Settings, then Journeys. The tabs are Onboarding, Onboarding Templates, Offboarding, and Offboarding Templates.

Managers with permission open Onboarding or Offboarding on the Manager menu. Employees see My Onboarding, My Offboarding, or both under My Journeys, and only when they have one. The product page is employee onboarding software.

Templates

A template is a reusable list of tasks. Each task has a title, who does it (employee, manager, or HR), how many days from the anchor date it is due, and whether it is required.

A task can also carry a hook that deep-links the person to the right screen: policy, document, training, asset, profile, payroll, feedback, team, or calendar. Completing the real work does not tick the task for you. They still mark the checklist item done.

Onboarding due dates count from the joining date. Offboarding due dates count from the last working day (negative offsets are before that day, positive offsets are after). Mark one template as the default if new hires should get it automatically. Sample names you may already have in a demo company are Standard New Hire and Engineering Hire, and Standard Exit and Contractor Exit.

Start an onboarding

  1. Build or edit the template under Journeys, Onboarding Templates.
  2. Onboarding, then create. Pick the employee, the template, and the joining date. SnapHRM copies the tasks and dates them from that day.
  3. Optional: assign a buddy. If email is on, the employee is mailed when onboarding starts, and the buddy is mailed when you assign them. Those switches are on the Onboarding tab: “Email employee when onboarding starts” and “Email buddy when assigned”.

A joining date in the future shows a Preboarding badge. Progress reaches completed at 100%. Managers can complete or skip any task. Mark completed finishes the journey and skips whatever is still pending.

If the default template is set, inviting or creating an employee starts that template on its own. Create uses the joining date on the form. Invite uses today. It will not start a second journey if one is already active, and it fails quietly if the template cannot be assigned.

What the employee sees

Self opens on a welcome card and the checklist. They can complete only the tasks assigned to the employee. Manager and HR tasks are visible and read-only. A hook shows a link to the related screen; they still mark the task complete themselves. One active journey opens straight on the checklist.

Offboarding

Same shape, anchored on the last working day.

  1. Offboarding Templates — tasks and a default.
  2. Start one from Offboarding with the employee, template, and last working day. Or turn on Auto-start on exit approval so an approved resignation or termination starts it. The journey can link back to that resignation or termination.
  3. The Offboarding tab also has “Email employee when offboarding starts”.

Managers complete, skip, Mark completed, or cancel. The employee’s checklist works like onboarding: only their own tasks are actionable. Exit interviews and asset returns are not completed by the hook itself; record the resignation in lifecycle and the laptop in assets.
