How to post jobs and track applicants

Open a role, share the public page, and move people through Initial, Shortlist, Interview, Selected, and Rejected.

Two screens

You need permission to manage jobs, and a second permission to manage applications. Jobs is the list of openings. Applications open on a board of stages. All Applications is the full table, including older and closed ones.

Employees can see internal openings under Self, then Jobs: Openings and My Applications. The product overview is the applicant tracking page. Offer wording, once you decide to hire, is a letter.

Post a job

  1. Jobs, then New.
  2. Basic Details — Role, Experience Required, CTC, Vacancies, and Location.
  3. Job Description — Introduction, Responsibilities, and Skill Set.
  4. Status — Last Date, Posted Date, Posted As (Public, Internal, or Both), and Status (Open or Closed).
  5. Create.

On an open job, the preview shows a public URL when Posted As is Public or Both. You can copy it or open it. Share buttons are there for Facebook, LinkedIn, and Twitter. Filter the jobs list by Open or Closed. Edit and Delete are on the row.

How people apply

The public page is the link from the job preview. It shows the introduction, responsibilities, skill set, last date, vacancies, CTC, experience, and location. If the job is open, the button is Apply for this role. If it is closed, the button reads Job opening is closed.

The form is Submit your application: name, email, phone, LinkedIn, cover letter, and resume (Choose file), then Submit application. SnapHRM stores the source as SnapHRM Job Page.

You can also add someone yourself. On the board, Add. On the table, Add opens Create Job Application: job, name, email, phone, source, stage, LinkedIn, cover letter, and resume. The source field suggests SnapHRM Job Page, Website, Naukri.com, Monster.com, Indeed.com, Referral, Consultancy, and Email.

On an internal opening, an employee uses Add Candidate on Self, then Openings.

Move them along

The board columns are the stages other than closed: Initial, Shortlist, Interview, Selected, and Rejected. Drag a card to another column. The board only shows the last 60 days. The notice says to open All Applications for older ones. That table can also filter Closed.

Search, or filter to one open job. Refresh reloads the board. Close Application on a card files it as closed and does not email the applicant. Confirm Close.

Click a card for Application Details. Edit fixes the contact fields. The stage dropdown plus Add Stage records a step without dragging.

Interviews

Dropping a card on Interview, or editing an Interview stage, opens Update Interview Details.

  • Interviewers
  • When? — interview date and time
  • Where? — place of interview
  • Type — Telephonic, Skype, Technical, Coding, HR, or Other
  • Notes — for a Skype ID, phone number, or anything else the interviewer needs

Update saves it. There is no separate “email the candidate” button on this screen. Download their resume from the card. When you hire them, add them as an employee and start onboarding.

How do I publish a job?

What does a candidate fill in?

On the public page they choose Apply for this role. The form asks for name, email, phone, LinkedIn, cover letter, and a resume, then Submit application.

How do I move someone to interview?

Open the applications board. Drag the card to Interview, or set the stage and Add Stage. Interview asks for interviewers, date and time, place, type (Telephonic, Skype, Technical, Coding, HR, or Other), and notes.
