How to run payroll

Salary groups, basic salary, generate a month, payslips, increments, reports, and exports.

Before the first month

You need permission to manage payroll. The Manager menu is Payroll: Basic Salary, Manage, Reports, Export, and Increment & Promotion. Salary structures are under Settings, Salary Groups.

Set the Financial Year Start Month in company settings before you rely on year-to-date reports. Statutory rates for India — EPF, ESI, professional tax, TDS, gratuity, bonus — are explained on Payroll Software India, not repeated here. This page is the product workflow. Free calculators for those amounts are linked from that page and from the footer.

Salary groups and basic salary

  1. Settings, then Salary Groups. Create the structures you pay against (the heads that make up a salary).
  2. Payroll, then Basic Salary. Each row shows Employee, Basic Salary, Net Salary, Net Salary (Payable), and Salary Group. Edit sets the numbers and the group for that person.

Bank details are on the employee record, under Contact and the fields the create form told you to fill after the person exists. Do that before a bank transfer export.

Generate a month

  1. Payroll, then Manage. Pick the month.
  2. Choose Generate. If that month was already generated, the action is Re-Generate.
  3. Open the month to Update Payroll and correct a line if attendance, leave, or a salary change needs it.
  4. Set Status as you go: Generated, Review, Locked, Submitted to Bank, or Paid. Paid asks for a Payment Date and Payment Method.

Edit and Delete are on the payroll list if you need to throw a run away and start again. Attendance and unpaid leave should already be settled; see attendance and leave.

Payslips

On the payroll list, Download Salary Slips gets the batch. Each row also has Salary Slip.

Employees open Self, then Payroll. From there: Reports, Download Salary Slips, and Export to Excel, which opens their own export page. That page can also download Salary Slips (PDF) as a zip.

Reports and export

Reports has two modes: Company Overview and Employee Reports.

  • Company — Cost vs last month (with Export CSV), By Year, and By Category.
  • One employee — pick the person, then Overview, Tax & FY, Earnings, CTC, Register, YoY, Components, or Monthly.

Export (the admin screen is Payroll Export) previews three files:

  • Monthly Payroll Report
  • Consolidated Payroll Report
  • Bank Transfer Report

After the preview, Download Excel File. The bank preview also has ICICI txt download, which opens ICICI TXT Download and Save & Download.

That export screen does not show a separate EPF ECR, ESIC, or Form 24Q button. Use the Excel reports with your accountant, and use the India payroll page for how the statutory amounts are calculated.

Increments and promotions

Payroll, then Increment & Promotion. Open the employee. Record an increment, a promotion, or both, with an effective date. The history also shows on their profile under Increments. The next payroll run uses the new salary from that date.

Frequently asked questions

How do I generate payroll for a month?

Open Payroll, then Manage, pick the month, and choose Generate. If that month already exists, the action is Re-Generate. Open a row to Update Payroll. Set status to Generated, Review, Locked, Submitted to Bank, or Paid.

How do employees get payslips?

On the payroll list, use Download Salary Slips. Employees open Self, then Payroll, and can Download Salary Slips from there once the month is available to them.

What can I export?

Payroll, then Export. You can preview a Monthly Payroll Report, a Consolidated Payroll Report, or a Bank Transfer Report, then Download Excel File. The bank preview also has ICICI txt download. Statutory rate rules are explained on the Payroll Software India page; this export screen does not list a separate ECR, ESIC, or 24Q button.
