Relieving Letter Format India: Free Templates & Guide (2026)

Back to Blog · 7 min read

A relieving letter is the document that officially ends the employment relationship — proof to a resigning employee's next employer that they completed their notice period and left in good standing. Without one, background verification with a new employer commonly stalls. It is the exit-side counterpart to the offer letter issued when someone joins.

Relieving Letter vs Experience Letter vs Full & Final Settlement

These three exit documents are often confused, but each does a different job. If you need the full template and components for the second one, see our experience letter format guide:

When Should a Relieving Letter Be Issued?

Once an employee's resignation is accepted, HR typically runs through exit formalities — asset return, knowledge transfer, and a no-dues clearance from the relevant departments — before signing off on the letter. Most companies hand it over within 7-15 days of the last working day, once those formalities and the full and final settlement are confirmed. Delays are almost always caused by incomplete handover or a pending no-dues clearance, not by the letter itself.

Key Components of a Relieving Letter

A relieving letter should stay short and factual — it is a confirmation, not a summary of the employee's career. Include:

  1. Company Letterhead — Official name, logo, and registered address
  2. Date of Issue — When the letter is being issued
  3. Employee's Full Name & Designation — As per company records
  4. Date of Joining & Last Working Day — Both dates, stated clearly
  5. Statement of Relieving — Explicit confirmation the employee is released from duty as of the last working day
  6. Notice Period Compliance — Confirmation the employee served the required notice, or that it was waived
  7. Handover / No-Dues Confirmation — That company property and pending work have been handed over
  8. Well-Wishes Closing — A brief, professional closing line
  9. Authorized Signatory — HR head or manager's name, designation, and signature, with company seal

What If Your Employer Won't Issue a Relieving Letter?

Employers sometimes hold back a relieving letter over an unresolved issue — asset return, a notice-period shortfall, or a pending handover — but doing so as a blanket policy rather than for a specific unmet obligation is a common source of disputes. If yours is delayed, put the request in writing to HR, referencing your resignation acceptance and notice-period completion, and ask for the specific reason if it is refused. Since no single law prescribes the format or timeline, your appointment letter and company HR policy are the reference points that matter — keep both handy if you need to escalate.

Common Mistakes to Avoid

  • Vague or missing last working day — This date is the single most important fact a new employer checks
  • Mixing in salary or CTC figures — Those belong on a salary certificate or in the full and final settlement statement, not here
  • Confusing it with an experience letter — A relieving letter does not need to describe the role or responsibilities in detail
  • No authorized signatory or seal — Makes it harder to verify and can get flagged during background checks
  • Issuing it before handover or dues are settled — Creates disputes if something is later found incomplete
  • No date of issue — Needed to establish when the letter was actually released

FAQ

Frequently Asked Questions

What is the difference between a relieving letter and an experience letter?

A relieving letter confirms that an employee has been formally released from duty and states the last working day — its job is to prove a clean exit. An experience letter documents the role, tenure, and responsibilities held, and is the one usually attached to a resume or LinkedIn profile.

Is a relieving letter legally mandatory in India?

No single central law mandates a relieving letter or its format. It is standard corporate practice rather than a statutory requirement, but its absence commonly stalls background verification with a new employer, so most companies treat it as a routine part of the exit process.

How soon after resigning should I get a relieving letter?

Most companies issue it within 7-15 days of the last working day, once handover and full and final settlement formalities are confirmed. Exact timelines depend on company policy, not a fixed statutory deadline, so check your appointment letter or HR handbook for the specific number of days.
