When Should a Confirmation Letter Be Issued?

The letter should go out within a few days of the probation end date stated in the appointment letter — not weeks later. Most HR teams run a short review beforehand: the reporting manager signs off on performance, any pending feedback is documented, and HR checks whether the role calls for an extension instead of confirmation.   5. Statement of Confirmation — Explicit confirmation that employment is now permanent, effective from a stated date
  6. Revised Terms, If Any — Updated salary, designation, or reporting manager, if the confirmation coincides with a change
  7. Updated Notice Period — The notice period that now applies as a confirmed employee, if different from probation
  8. Authorized Signatory — HR head or manager's name, designation, and signature, with company seal

What If Confirmation Is Delayed or Never Issued?

A delayed confirmation letter is usually a paperwork gap, not a deliberate decision — the manager's sign-off is pending, or nobody flagged the date.
