Experience Letter Format India: Free Template & Sample (2026)

Back to Blog · 7 min read

An experience letter is the document a former employer issues to certify your designation, tenure, and role — the one recruiters and background verification agencies actually ask for, and the one you attach to a resume. It is often confused with the relieving letter, but the two serve different purposes: a relieving letter proves you exited cleanly, while an experience letter summarizes what you actually did.

Experience Letter vs Relieving Letter: What's the Difference

Both are exit documents, but a new employer or verification agency typically wants both, for different reasons:

Aspect Experience Letter Relieving Letter
PurposeCertifies role, tenure & responsibilities heldConfirms formal release from duty
When requestedAnytime after exit — often years later, for a new job or admissionOn or shortly after the last working day
Typical useResume proof, background checks, visa & admission applicationsBackground verification with a new employer
Mandatory in IndiaNo specific law, but standard practiceNo specific law, but standard practice

When Do You Need an Experience Letter

Unlike a relieving letter, which is a one-time exit formality, an experience letter gets requested repeatedly through a career:

  • Job applications — A new employer's HR or background verification vendor asks for it to confirm your stated designation and tenure
  • Visa applications — Work visa processes in several countries expect an experience letter to establish professional history
  • Higher education admissions — MBA and other programs that require work experience often ask for one as proof
  • Freelance or consulting pitches — Used alongside a resume to establish credibility with a prospective client
  • Internal record-keeping — Some professionals request one simply to keep a personal archive of their employment history

Key Components of an Experience Letter

An experience letter needs more detail than a relieving letter — it has to stand on its own as proof of what you did, not just that you left properly:

  1. Company Letterhead — Official name, logo, and registered address
  2. Date of Issue — When the letter is being issued, which may be well after the exit date
  3. Employee's Full Name & Employee ID — As per company records
  4. Designation Held — Final job title, and prior titles if the person was promoted during their tenure
  5. Dates of Employment — Date of joining and last working day
  6. Role & Responsibilities Summary — A short, factual description of what the role involved — this is the section a relieving letter deliberately skips
  7. Conduct Statement — A brief line on professional conduct during employment
  8. Well-Wishes Closing — A short, professional closing line
  9. Authorized Signatory — HR head or manager's name, designation, and signature, with company seal

Is an Experience Letter Legally Mandatory in India?

No single central law obligates an employer to issue an experience letter or prescribes its format. It has become standard practice because background verification agencies, immigration authorities, and admission committees routinely ask for one — an employer that refuses without reason risks making it harder for a former employee to move forward, which is why most companies treat it as a routine HR service rather than a discretionary favor. If your employer delays, a written request to HR citing your employee ID and employment dates is usually enough to get it processed.

Common Mistakes to Avoid

  • Vague responsibilities — "Worked in various capacities" doesn't hold up to background verification; name the actual role
  • Including salary or CTC figures — Keep those on a separate salary certificate, issued only if specifically requested
  • Missing employment dates — Date of joining and last working day are the two facts every verification check confirms first
  • No authorized signatory or seal — An unsigned letter on plain paper is routinely rejected by verification agencies
  • Treating it as identical to a relieving letter — Issuing only one when both are requested causes avoidable delays for the employee

FAQ

Frequently Asked Questions

What is the difference between an experience letter and a relieving letter?

A relieving letter confirms you were formally released from duty and states your last working day — it proves a clean exit for background verification. An experience letter goes further: it summarizes your designation, tenure, and role, and is the one you attach to your resume or LinkedIn profile.

Is an experience letter mandatory in India?

No central law requires an employer to issue an experience letter or fixes its format. It is standard corporate practice rather than a statutory obligation, but most background verification processes and many visa or higher-education applications expect one, so companies issue it as a matter of routine.

Can I get an experience letter after I've already left the company?

Yes. Unlike a relieving letter, which is usually issued right at exit, an experience letter is commonly requested later — sometimes years afterward, when applying for a new role or further study. Write to your former employer's HR team with your employee ID and employment dates; most companies keep records for exactly this reason.
